You can print address labels for families who are enrolled in classes directly from the Reporting section of YourVirtuoso. You can also print labels for selected families or prospects using the Marketing/Mailings section of YourVirtuoso as part of an email/mail campaign See “How to Email your Families”.
It is also possible to use programs such as Microsoft Word® to create labels or mail merge documents using files exported from YourVirtuoso in “CSV” (comma separated values) format.
Printing Mailing Labels for Enrolled Families
Click on Reporting and then on Family Reports
Click on Mailing Labels link
A set of filters are shown which can be used to define which families you want to print labels for.
IMPORTANT: If you want all of your registered families included, be sure that the Date Registered filter is set to Across All Time.
Birth Month Filters
The Birth Month filter can be used to print labels for sending birthday cards. Be sure to specify show student's names in the Display filter.
You can select the Caregiver has No Email: checkbox if you have already sent an email to parents and just want labels for those who do not have email addresses.
(Note: There is a, usually simpler, way to send a mixed mail/email using Marketing/Mailings described in “How to Email your Families”
When the filters are set correctly, click on Generate Report and YourVirtuoso will display a preview of the labels in the window.
If the addresses look correct, click on PDF at the bottom of the page, and your browser or your pdf display application (often Adobe Reader®) will display the labels and you can print them onto standard Avery 5160 format labels (30 per page). Be sure to turn off page scaling in the print settings to ensure they line up correctly.
In some cases, it may be necessary to adjust your printer’s margin settings to get satisfactory alignment of the labels. Mac users should print using Preview rather than the Safari browser. PC users should ensure they have the latest version of Adobe Reader - a free download from www.adobe.com.
How to Print Labels Using External Applications
Several reports can also create CSV files for use in external applications. The mailing labels report will export enrolled families. To export and print labels for all your families, use the Family Directory report.
1. Click on Reporting and then on Family Reports

If you want labels for all your families, un-check the Has Balance filter and click Generate Report.
Click on CSV at the bottom of the page, and depending on your browser settings, a file will either be automatically downloaded to a predefined download folder on your computer, to your desktop, or to a location that you will specify in a pop-up file save dialog box. If you are not sure where it has been placed, search for a file named “Family Directory Report.csv”
The procedure for creating labels from this file will vary depending on the application you use and which version you have, but in general, you should launch an application like Microsoft Word® and activate its label printing wizard. When asks for a “merge file” or a “data file” use the “Family Directory Report.csv” that you created with YourVirtuoso, and lay the fields out on your label. For this report, you will need to enter your state as text on your label layout, as it is not exported as a field in the merge file. If you have trouble making this work for you, please consult the help system for the application you are using, and look for label printing and/or mail merge assistance.
